I've been working with a virtual assistant (VA) for over a year who helps me with daily marketing tasks for the 5 brands I manage.
When ChatGPT came out, I knew it would help streamline proofing content that my VA sends or publishes.
#1: Subject Line Creator
The subject line is the most important element of an email, especially when you're sending over 35,000 emails a week, which is what my VA does.
So, I built a subject line creator for him to use.
How I made it:
The instructions summarize the audience we target for this particular brand, including who they are and the importance of topics they are interested in.
I also uploaded some files with reports of open and click rates for previous emails and their subject lines from the past - these are updated quarterly.
I ensured that the GPT created at least 5 subject lines every time and allowed my VA to choose the best. This still allows for flexibility and creates a better work environment.
#2: YouTube title & descriptions
One of the brands I manage has an industry-leading YouTube presence, with up to 2 videos and 5 shorts published weekly.
This GPT is still a work in progress, and sometimes the results are edited, but overall, it's a good start, and I started letting my VA use it, too.
How I made it:
I created a list of the top 30 titles we have had with the highest number of views as a report to upload with the files.
I also provided links and resources with the best YouTube title and description practices for the GPT to structure the results.
I also wanted a standard structure of links and resources shared at the bottom for each description, so the GPT always produces that.
#3: Campaign Assistant
This GPT helps me with organizing new campaigns.
This brand, in particular, has various audiences and services, so I created this to help me balance the efforts on multiple platforms when launching new services.
How I made it:
I told the GPT all of the platforms used for our campaigns so the plans it outputs can be all-encompassing and balanced.
I shared previous examples of campaigns I've created and what worked and did not work to provide more insight into the audience.
I also provide a marketing budget amount if I have a strict limit or I will ask for a suggestion on how to balance it in various platforms.

Custom GPTs take a while to create. Each took an average of 4-5 hours to create. Between pulling reports, providing the prompt, giving examples, and testing the results before shipping, custom GPTs are powerful but require patience.
They can be powerful tools to use daily or weekly, but make sure to take the time to collect files and craft a detailed prompt.
After all, your results are only as good as your instructions.
